Period of Notice
If you are planning on leaving the university check to see how much notice you are required to give by referring to the relevant Employment Agreements.
Areas should be aware of the implications of clauses in the Agreement, relating to notice periods and severance entitlements, particularly for fixed term staff.
Giving Notice
- An intention to resign or retire must be communicated to the staff member’s Head of School/Department in writing. This written notice must include an exact date of resignation/retirement.
- The Head of School/department should sign the letter in acknowledgement of receipt.
- A copy of the written notice is to be sent to the Human Resources as soon as possible.
- Upon receipt of a copy of the written notice, Human Resources will formally acknowledge the notice and commence finalising remuneration arrangements.
A Resignation Form has been created for all ongoing and fixed-term professional and academic staff to assist with giving notice.
Human Resources should be advised immediately of a resignation or retirement to ensure that all salary, leave credits and other entitlements are attended to.
This usually occurs either by the cease date or the pay following the cease date.
Separation Certificates
Separation Certificates for Centrelink purposes are available on request at the expiration of your appointment.
Separation Certificates can only be issued by HR once your appointment with QUT has formally ended and your final pay has been disbursed.
If your appointment with QUT was as a Sessional Academic or Casual Professional Staff member, please contact the Pay Office to request a Separation Certificate.
For all other appointment types, please contact your Senior HR Advisor.
Deductions
If you have had fortnight deductions from your pay for payment to external organisations you should inform these organisations of your employment termination, e.g. staff union etc.
QUT MBF Employee Health Fund Plan member
If you are currently a member of the QUT MBF Employee Health Fund Plan and wish to receive the same corporate benefits after you have left QUT please contact MBF directly on 1300 653 525 for further information.
Salary Packaging
Employees ceasing employment with the University who have entered into package remuneration agreements, must give one month’s notice in writing to cease such agreements with the University.
The Salary Sacrifice Officer must be advised by emailing salary.package@qut.edu.au immediately on intention to cease employment to finalise salary packaging arrangements (applicable to staff who salary sacrifice for items other than superannuation).
Return of University Property
It is the responsibility of the Head of School/Department of any staff member who is leaving the employ of the University to ensure that University property is returned prior to the cessation date.

Gold Card
If you are a staff member with 10 years or more experience at QUT you are eligible for Gold Card borrowing privileges at the University Library.
